This role is member of the Total Rewards team reporting to the Chief People Officer.  This role is responsible for the day-to-day operations of benefits programs (group health, dental, vision, short-term and long-term disability, FMLA, worker's compensation, life insurance, flexible spending plan (FSA), health savings account (HSA), and 401(k) plan). Excellent customer service skills, the ability to improve existing programs, and manage/monitor benefits administration. Strong attention to detail, proficient excel skills, aptitude for talent management and HCM systems, and the ability to prioritize work.

Required skills for this role:

This role is a customer-service, multi-functional role that supports the organization in a variety of areas including but not limited to benefits administration, compensation mgmt., and general human resource issues. A Bachelor’s degree, proficiency in Excel and HCM systems is required; professional certification is a plus. This individual must have the ability to maintain positive working relationships with the employee population and vendor partners. Attention to detail, accuracy, and proficient business writing skills are necessary.  

Description of Responsibilities:

·         Proficiency in learning Talent Management and HCM Software. Workday experience is a plus.

  • Handle benefits inquiries and issues to ensure quick, equitable, courteous resolution. Field questions and provide timely feedback/information based on requests from management or employees.

·         Oversee (paid time off) PTO accrual processes and maintains correct accrual balances for staff.

·         Serve as primary contact for plan vendors and third-party administrators. Coordinate transfer of data to external contacts for services, premiums and plan administration. Document and maintain administrative procedures for assigned benefits processes. Ensure compliance with applicable government regulations. Ensure timeliness and accuracy of required reporting.

  • Manage and drive benefit communications for new hires, exiting employees and current employees.
  • Work closely with payroll, finance and accounting to ensure accuracy of benefit deductions, payroll and billing reconciliation as well as adjustments. Process monthly billings in a timely manner to ensure timely payment for all benefit plans. Provide monthly reconciliation reports as supporting documentation.
  • Support plan audits, 5500 filings, ACA reporting, and Summary Annual Report communications.
  • Work with manager and total rewards team to assess administrative best practices.
  • Leverage benefit surveys and benchmark to assess competitiveness of employee benefits package.
  • Open Enrollment and Year-End Processing - coordinate processes from communication to execution.
  • Participate in RFP activity for all vendors and carriers.
  • Maintain thorough, accurate documentation and records for all benefit plans.
  • Lead and manage wellness-related initiatives, and drive employee participation.
  • Design and manage the employee new hire orientation and benefits onboarding.
  • Leave Management – ensure employees that have a medical situation or otherwise qualify for STD, LTD and or FMLA are applying for this benefit in advance of their leave or as soon as possible. Educate managers and employees to ensure they understand the process. Manage the day to day administration of FMLA, STD, and LTD with third party vendors, including payroll reconciliation. Keep payroll notify of the leave status in case there are payroll changes to process.
  • Assist in coordinating employee events, such as health fairs.
  • Manage day to day administration of 403b plan, including vendor and payroll interfaces, issue resolution, and payroll reconciliation.
  • Work with payroll for benefit deduction adjustments.
  • Work with third party vendors, broker and Y USA, to resolve employee benefit issues.  

Qualifications / Required Knowledge, Skills, and Abilities:

  • Bachelor’s Degree in human resources, management, business, or related field is required.
  • Minimum of 5 years of benefit/HR experience or some combination thereof.
  • Solid understanding of benefit plan principles related to medical, dental, vision, disability and life insurance, as well as retirement plan administration, healthcare reform, FMLA, HIPAA regulations, IRS rules and regulations, etc.
  • Knowledge of all pertinent federal and state regulations, filing and compliance requirements, both adopted and pending, affecting employee benefits programs, including ERISA, COBRA, FMLA, ADA, Section 125, workers' compensation, Medicare, OBRA, and Social Security and DOL requirements.
  • Strong computer skills are required in HCM systems, MS Office particularly Excel. Workday experience is a plus.
  • Analytical skills and the ability to identify and execute continuous improvement for processes, procedures, and system effectiveness.
  • Strong knowledge of Human Resources disciplines, regulations and practices required.
  • Must have the ability to handle confidential and sensitive information. 
  • Must possess strong interpersonal skills and an ability to work and communicate effectively with all levels and functions in the organization, including external vendors.  
  • Must have strong attention to detail, organization, project coordination skills, and have the ability to multi-task priorities and assignments with minimum supervision.
